Provides executive level administrative assistance through the performance of advanced and complex general office work and assumes considerable responsibility for office management.; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate.
Responsibilities: 20% Coordinates calendars, meetings, events and other activities. Provides technical guidance and advice on administrative matters to AVP and team. Prepares notices, agendas and minutes for meetings. Coordinates and monitors action items and assignments made by the AVP. Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support.
10% Drafts and manages correspondence and communications, schedules appointments, manages AVP calendar and coordinates Marketing and Communications travel. Prepares travel arrangements and processes travel reimbursements.
15% Assists in compiling departmental reports for executive leadership. Maintains records and documents, including media contact lists and university (System) emergency contact lists. Communicates policies, procedures, standards, and methods. Interprets policies, rules, and regulations. Responds to inquiries, resolving problems or inquiries. Reviews administrative practices and programs and assists in formulating policies.
15% Maintains spreadsheets showing the advertising plans and expenses. Develops and tracks the annual advertising calendar, notifying the AVP and team members of approaching due dates.
10% Serves as contact, both for internal departments wishing to place advertising and for external vendors. Obtains basic information for AVP. May solicit material, monitor progress and send finished advertising products to appropriate vendors.
25% Submits requisitions and processes invoices for purchase of advertising, printing, graphic design, banners, and other promotional or office use materials through proper purchasing channels. Tracks all projects, notifying appropriate Marketing and Communication staff when purchase orders are issued, and ensures that materials are developed and submitted to meet deadlines. Assists in monitoring budgeted accounts. Monitors and manages project management software.
5% Performs other duties as assigned.
Education and Experience: Bachelors degree in applicable field or equivalent combination of education and experience. Three years of related administrative support experience.
Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and presentation applications. Strong interpersonal and communication skills. Demonstrated planning and organizational skills. Ability to multitask and work cooperatively with others.
Experience with Wrike or Asana and a marketing background preferred
