Direct Marketing Coordinator reports to the senior director of annual giving programs, direct marketing and participation. Responsible for daily activities related to Phonathon data, scripting and caller recruitment and retention. Additional responsibilities include management of donor thank-you gift processes, senior week registration, and assisting with marketing and stewardship activities related to crowdfunding, giving days and the WashU Loyalty Society. Specific responsibilities include, but are not limited to:
PRIMARY DUTIES AND RESPONSIBILITIES:
Phonathon Scripting, Printed Materials and Data Integrity: Manage updates of phonathon scripts, emails and pledge materials. Manage data file processes in coordination with IS&T, mailhouse vendor, and A&D staff. Respond to comments/requests from phonathon contacts.
Provide oversight of daily call center operations in partnership with the Call Center Manager and Student Supervisors to create a welcoming and motivating environment for the student callers. Plan 3-4 caller parties, weekly caller motivational goals, and incentives. Assist with long-term strategic planning for phonathon in coordination with the Senior Director of Annual Giving Programs and Ruffalo Noel Levitz, the Call Center Consultant.
Coordinate with Shared Services and Call Center Manager to develop and manage hiring and termination processes for nearly 250 student callers per year. Manage financial reporting/analysis related to student caller wages and call center incentives. Manage updates to recruiting website, recruitment emails and caller application form. In coordination with Call Center Manager, regularly market student caller position on-campus.
Serve as primary staff liaison to premium and thank-you gift vendors. Oversee the ordering of donor thank-you gifts. Work with mailhouse vendors and manage the process of fulfilling thank-you gifts to donors.
Crowdfunding/Giving Day: Assist Associate Director, Annual Giving Programs with building crowdfunding and giving day landing pages and gift forms, as well as other activities related to executing crowdfunding, #GivingTuesday and short-term participation challenges.
Senior Class Gift and Senior Week Registration set-up and management. Data management for Senior Week registration and senior class gifts throughout the spring semester. Coordinate Senior Class Gift presence at on-campus events targeted towards seniors.
Assist with marketing and stewardship activities related to the Washington University Loyalty Society.
Perform other duties as assigned by the senior director of annual giving programs and/or the executive director.
Minimum high school diploma plus three years of work experience, or equivalent combination of education and experience.
Experience working in a professional office setting.
Highly motivated individual with professional demeanor, excellent attention to detail, good judgment, flexibility, and solid interpersonal skills.
Ability to handle multiple priorities in a deadline-oriented work environment.
Effective time management skills, including ability to focus on most important tasks.
Excellent grammar, communication, and telephone skills.
Ability to interact effectively and pleasantly with individuals at all levels within and outside of the organization.
Knowledge of Microsoft Office suite including Word and Excel.
Experience working with and setting up databases and other platforms including Advancement Form and Qualtrics.
Experience working in development including phonathon/call centers or annual giving.
The hiring range for this position is $18.80 to $19.49 per hour.
