The Executive Assistant/Marketing Coordinator (EA/MC) in the Office of Government and Community Relations (GCR) often serves as the first and primary contact a public official, staff, community stakeholders and individuals/groups has with the University. The primary responsibility for the EA/MC is to provide administrative support and services to the Vice President (VP) and, as needed, as a key member of the GCR team to assist with our mission to develop, build and maintain mutually beneficial relationships with public officials and community stakeholders at all levels and advancing and promoting RIT's reputation and prestige as a community asset. The EA/MC is also responsible for managing GCR's soon to be created social media accounts, manage department wide marketing and communications initiatives and to assist the VP with lobbying compliance reporting.
Responds to the day to day needs of the VP, including, but not limited to, scheduling meetings, arranging travel, coordinating departmental mailings, and sending/updating calendar invites and conference calls and serve as the primary point of contact for visitors and callers to the GCR office, monitors department email, phone and social media accounts.
Responsible for drafting and preparing correspondence directed at public officials/staff and community stakeholders as directed by the VP. This includes mailings, email and social media.
Work with the Director, Community Relations to recruit students and manage student lobby days in Albany and Washington D.C.
Work with contract lobbyists to make appointments and create travel itineraries and manage travel arrangements for trips to Albany and Washington, DC for the VP, AVP, other university leadership, faculty, staff and students. This includes management/updating appointment schedules in real time due to frequent changes in public officials' schedules.
Responsible for formatting and proofreading content and format layout of funding proposals to enhance document structure, readability, content flow and visual appeal. This includes preparing internal and external presentations and other confidential materials directed to government officials during the annual federal and state budget process and for Board of Trustees.
Work with the events team to assist with logistical arrangements, prepare meeting materials and itineraries, and process details associated with visits by government officials and community leaders touring RIT facilities to become familiar with capabilities and programs.
Marketing, Communications & Social Media
Responsible for daily management and oversight of GCR social media account including requests for information that come in via social media.
Design and create ads for GCR/RIT's sponsorship of community events and develop creative concept and copy, power points, select imagery to support message, create graphical layout and print files as needed.
Coordinate GCR participation in community events, on and off campus, including interfacing with the host organizations to joint and sourcing/communicating with attendees.
Attend events (morning, nights and weekends may be required on occasion) to promote on social media.
Work with the entire GCR team, and university wide departments, to highlight economic development initiatives, including but not limited to, new construction projects, economic impact reports, faculty and student research accomplishments, etc.
Promote GCR managed events (IMAGINE RIT, brick City Homecoming Weekend, etc) on appropriate platforms via social media, internal and external listservs, RIT newsletters, etc.
Work with the VP and outside counsel to maintain the list of RIT's registered lobbyists.
Assist with bi-monthly lobbying report collection.
Draft bi-annual university wide lobbying/campaign related activity memo and reportable relationship memo from the VP.
Occasionally attend external events to represent GCR in the local Community as directed by the VP. OTHER DUTIES AS ASSIGNED
Department/College Description RITs Division of Government and Community Relations serves as the universitys liaison with federal, state and local government entities as well as community groups and organizations. The staff is responsible for coordinating RITs participation in community events, and manage large-scale special events that take place on the RIT campus and in the community.

Required Minimum Qualifications Education:
Bachelors Degree in Political Science or Marketing/Communications is preferred. Equivalent training and/or work experience will be considered.
Three or more years of progressively responsible administrative experience is required
Strong oral and written communication skills
Experience with, and managing, social media accounts required
Power Point savvy
Independent time management skills and the ability to manage multiple tasks and projects simultaneously
Ability to work effectively at all levels as daily interaction with RIT faculty, students, staff, members of the community, key stakeholders, public officials and staff require a high degree of courtesy, tact and professional demeanor
Proficiency with Microsoft Office Suite required
Proficiency with Power Point required
Ability to deal with confidential/sensitive information
