The Associate Director of Marketing is an integral member of the Marketing and Communications department with a particular role emphasis on managing the department’s marketing operations and media buying, including subscription and single ticket event advertising. Key functions include direct mail strategy and project management, digital and social media advertising planning, brand execution across channels, media buying, and related external and vendor relationship management to generate ticket sales and revenue. The position is the primary manager of the marketing expense budgets for the organization, and is responsible for expense oversight, reporting, and projections.
Reporting to the Director of Marketing, this position is a key member of the Celebrity Series of Boston managers team and frequently leads cross functionally to push forward the organization’s strategic plan, goals, and values. The Associate Director of Marketing is responsible for three direct reports and works collaboratively with the marketing and communications team members as well as other departments (Finance, Advancement, and Performance Operations).
Marketing and Media Planning and Strategy
Creates marketing plans and implements and monitors all subscriptions, single ticket, Public Performance Projects, and Neighborhood Arts campaigns. Uses data to make informed campaign decisions and provide recommendations for campaign optimization.
Delivers strategic media and advertising placements, coordinating the production of all assets delivering them to advertising partners on time. Produces budgets for each marketing campaign, tracking expenses and placing all media across all channels, including but not limited to print, digital, direct mail, radio, television, outdoor, and more.
In partnership with Marketing Analytics Manager, creates reports and dashboards to share campaign progress and analytics in multiple platforms, including social media analytics, web analytics, and source code tracking in Tessitura (CRM database) to report back on campaign success.
Using list building and extraction functionality in Tessitura, creates segmentation strategy for direct mail and digital marketing. Partner with email marketing team on segmentation strategies for email marketing.
Provides primary project management oversight over all of the simultaneous projects marketing, design, communications, and box office teams are delivering through optimizing project management plans in project management tool (Asana).
Ensures CSB’s branding and related graphic design are implemented consistently across all channels; oversees all outsourced and in-house materials, including collateral, direct mail, and all forms of online communications.
Allocates marketing team resources between shows in order to support revenue generation and ticket sales across all shows in the season, identifying shows that need more sales and promotional support early in the process and adjusting plans accordingly.
Plans and executes a season announcement and subscriptions campaign. Project manages all season announcement launch strategy and materials, collaborating closely with the PR consultant and the Artistic team.
In collaboration with Assistant Manager of Social Media, executes and plan all social media and digital advertising expenses and placements with digital marketing firm.
In collaboration with the Design and Multimedia Manager, plans and executes a video content calendar and strategy, identifying the opportunity for promotional and institutional video content and integrating it into marketing campaigns.
In collaboration with Community Engagement team, develops plans to promote and attract audiences to Free Neighborhood Arts events, including designing and executing digital media strategy, traditional media placements, and allocating budget for performances.
External Relationships, Partnerships, and Promotions
Works closely with third party vendors, such as Capacity Interactive, TRG, and Tessitura’s business consulting division, to enhance revenue and increase expense efficiencies.
Maintains close media relationships in order to negotiate media buys across all traditional media channels, including television, radio, print, and outdoor.
Coordinates with internal and external front of house staff to produce and deliver all at-venue institutional signage, messaging, and branding materials.
Represents Celebrity Series at industry meetings and external events in order to build community connections throughout the performing arts and Boston arts and culture community.
Department Administration, Budgeting, and Financial Planning
In conjunction with Director of Marketing and Communications, plans annual marketing budgets with the Finance department. Ensures the marketing expense budget projections are accurate, data based, and reflect the departmental goals throughout the year.
Allocates budgets strategically, moving money between budgets in a transparent and thoughtful way. Provides monthly expense projections to Director of Marketing and Finance department.
Works with the programming team on single ticket marketing expense management on an ongoing basis, providing regular reports and collaborating on expense planning, and assisting gathering materials for the settlement process.
Efficiently and quickly process departmental invoices to guarantee on time payments of all vendors. Organize payment terms with all external parties and execute payment to all departmental expenses. Tie back all invoices to departmental budget and projections process to ensure sound financial planning and budget management throughout the season.
Leads big picture decision making strategy surrounding printed and digital program books.
Solicits, receives, and process program book advertising annually and per performance.
Oversees all program book project management and creation between Program Book Associate (PT) and Design and Multimedia Manager.
Makes certain that the Celebrity Series brand is carried through into the program book creation in a consistent and creative way.
Team and Project Management
Supervises graphic design, creative, multimedia and program book staff in implementing all design activities, digital and traditional media content creation, and program books for events. (2 full time staff and 1 part time staff member)
Provides constant management of the marketing creative team, allocating team resources to accomplish the marketing departmental goals.
Acts as a leader and project manager for the Marketing Team, coordinating between the Box Office, Digital, and Marketing Creative teams and effectively using project management software (Asana) to deliver projects on time, and without error.
Communicates the prioritization of projects between departments at Celebrity Series, collaborating closely with Advancement on campaign planning and ensuring that marketing creative team resources are helping other departments accomplish their goals.
Manages volunteers or interns for the marketing creative department as needed.
Bachelors degree or equivalent
Minimum of 8-10 years experience in marketing and advertising for the performing arts or a related field.
Documented success in building effective media buys and a proven track record for increasing revenue.
Detail-oriented self-starter with ability to handle multiple projects at a time and to excel in fast-paced, deadline-oriented environment. Strong project management skills and an ability to manage stakeholders with competing priorities and deadlines.
Strong budgeting, financial management, and analysis skills
Excellent written and oral communication and presentation skills.

Supervisory experience with the ability to lead, motivate, and develop staff to achieve institutional goals.
Willingness to support, assist, and collaborate with CS colleagues in all departments.
Attendance at evening and weekend performances and special events is required, in addition to regular weekday office hours.
Experience with the Tessitura CRM system is preferred; proficiency in Microsoft Office and excel budgeting required.
