JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: This position will facilitate the production of jobs from initial request to completion for the Office of Communications and Marketing. This position will work closely with internal team members and campus clients to keep projects and deliverables on track from inception to delivery. This position will also be responsible for coordinating workflow, working with outside vendors, and building strong relationships with clients, as well as handling administrative tasks and business office functions (i.e. time sheet submissions, p-card reconciliation, travel booking and reimbursements, etc.)
DUTIES AND RESPONSIBILITIES:
Serves as the front-line customer service contact for Communications and Marketing's phone and email and the initial point of contact when receiving new job requests from customers.
Approves campus announcements and emails submitted to, or moderated by, Communications and Marketing for approval.
Checks incoming items for accuracy of information and requests any additional information from customers about the job that may have been left out in the initial request.
Supports, coordinates, and performs communications and marketing functions in multiple areas of specialty and/or creates specialized content for a department.
Prioritizes client requests by request dates and working in high profile projects with possible shorter timelines.
Supports the Office of Communications and Marketing by handling the business function of the office - enters bills for payment, enters travel for colleagues, updates IT inventory, conducts annual space survey for office, reconciles monthly procurement card and ledger, enters new contracts for signature, etc.
Collaborates with the EVC's Business Office to request approval for purchases and ensure business processes are being handled correctly and to UT standards.
Quotes, orders, proofs, and coordinates the delivery and storage of promotional products for Communications and Marketing and Special Events use.
