The Direct Marketing & Participation Coordinator will provide primary support and oversight of Annual Givingâ™s systems, operations, and vendors, helping facilitate our programs and campaigns to drive alumni donor participation, build lifetime loyalty, and raise maximum spendable dollars for WashUâ™s top Annual Fund priorities.
This role reports to the Director of Direct Marketing & Participation and will support our internal workflow teams and larger Annual Giving Programs teams, working in close collaboration and partnership with Advancement Communications, Advancement Services, Alumni & Constituent Engagement, Donor Relations, and other internal partners and external vendors
Primary Duties & Responsibilities
Direct Marketing Systems Management
Lead the day-to-day management of our Engagement Center operating system VanillaSoft, our video messaging platform ThankView, and other critical Annual Giving operating solutions in close collaboration with the Direct Marketing team, Annual Giving leaders, and other internal partners,
Own the appropriate platforms that fall under our scope of work; provide administrative support and facilitate training/resources; manage vendor relationships; coordinate system functionality and data integration with our Advancement Services team. Support the use of these platforms with our gift officer efforts and assist in the execution of our planned direct marketing campaigns and other school/unit requests, as appropriate.
Digital/Online Giving Resources
Oversee the day-to-day needs and provide administrative support for our digital giving operations in partnership with the Direct Marketing team, Advancement Services, and other internal partners.
Coordinate online gift form crowdfunding/campaign page development, management, reporting; manage gift designation options and pick lists. Oversee and track our use of custom URLs, vanity URLs, QR Codes, etc. Collaborate with internal partners and vendors to innovate user experience and drive ease-of-use for maximum donor participation.
Data Integrity and Hygiene
Lead our teamâ™s efforts to ensure constituent record data integrity in our system of record database and other operating systems. Monitor data issues and errors; make/submit data change requests; organize donor preference data to be used to update constituent records (i.e., bad email addresses; opt-outs, etc.)
Maintain, review, and submit update requests for Annual Giving content across UA website domains. Support development, management, and implementation of Annual Giving/Direct Marketing standard operating procedures; own relevant UAWeb (intranet) content; facilitate other Annual Giving Programs resources and support for our Annual Fund school/unit colleagues.
Track activities, generate reports, and provide regular updates of various metrics pertaining to duties of this role, as needed. Collaborate with colleagues on programs and projects that overlap with those stated above. Assist, as necessary, with Annual Giving Programs and other relevant University Advancement events and campaigns. Undertake additional projects or perform other duties as assigned by the Director and Executive Director of Annual Giving Programs.

Experience in nonprofit advancement/development/fundraising, information systems management, or a field requiring the application of similar skills including marketing, sales, program/project management, etc.
Experience managing databases or using digital engagement platforms.
Experience completing complex programs, projects, or marketing campaigns: setting timelines and priorities, analyzing data, working with complex reporting and data sets, coordinating work among multiple teams, maintaining vendor relationships, developing and managing organized systems of processes and protocols, etc.
Understanding or awareness of nonprofit operations, annual giving fundraising, and direct marketing/persuasive marketing and communication strategies.
Knowledge of university environment; experience working in educational/nonprofit organization setting.
Maintaining working relationships with vendors, internal colleagues, and other partners is critical to the success of this role.
Working knowledge of and proficiency with standard office equipment, hardware, and software; advanced skills within Microsoft Office suite, including Word, Excel, PowerPoint, Outlook, and Teams. Familiarity with Salesforce, BlackBaud, MyEmma, VanillaSoft, ThankView, Workday, SmartSheet, ClickUp, or any equivalents.
Strong analytical processing skills to make decisions from data and reporting metrics.
Well-developed critical thinking, problem solving, and conflict resolution abilities. Able to quickly think on their feet, identify resources, and make informed decisions.
Exceptional at relationship management. Comfortable interacting with a variety of diverse audiences. Demonstrated ability to build and maintain relationships. Skilled at expressing empathy and providing premium customer service.

High school diploma or equivalent high school certification plus three years of work experience, or equivalent combination of education and experience.
$20.76 - $32.21 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
